Private client · VAT at 20%, staged payments

Where the job starts: Mrs Whitfield's bathroom refit, quoted to a private client. VAT charged at the standard rate, the work broken into priced lines, and the payments set out as a schedule rather than left to be argued about later. This is the job the Variation, Final account and Invoice tabs carry on.

Please use TD-2094 as your payment reference.
Before you transfer anything We will never write to you to say our bank details have changed. If you get a message of that kind, however convincing, do not pay it. Ring us on 01632 960 118 and check first.
Terms & Conditions
  1. This quotation is valid for 30 days from the date of issue. After this date, prices may be revised.
  2. The price covers only the works and materials described above. Any additional or changed work will be quoted and agreed with you as a variation before it is carried out.
  3. Where shown, VAT has been applied in line with current HMRC rules.
  4. Payment is due by the dates set out in the Payment Terms above; the deposit secures your booking and start date. If you cancel within your 14 days we return your deposit in full — unless you asked us to start early, in which case we keep only the value of the work already done and return the rest.
  5. Work will be carried out with reasonable care and skill, meeting your rights under the Consumer Rights Act 2015.
  6. If we uncover something that could not reasonably have been seen when we quoted, such as rot, a hidden leak or unsafe wiring, we stop, tell you what we have found, and price the extra work for your approval before going on.
  7. We do not disturb material we suspect contains asbestos. If we find any we stop, tell you, and price any testing or removal for your agreement first.
  8. Planning permission, listed building consent, party wall agreements and freeholder approval are not included. If any are needed we will tell you and agree who arranges them before work starts.
  9. Please give us safe access to the working areas for the agreed hours, along with water, power and somewhere reasonable to store materials.
  10. If severe weather, a supply failure, utility works or serious illness delays the works, we tell you promptly and agree new dates with you. Neither of us treats a delay of that kind as a breach of contract.
  11. When the works are finished we walk round the job with you and agree a written list of anything that needs putting right. That walk-round is Practical Completion: the works are treated as complete from that date, and any defects period runs from it.
  12. You have 14 days from the day you accept this quotation to cancel, without giving a reason. To cancel, tell us in writing before those 14 days are up. An email or a letter to the address on this quotation is enough.
  13. If you ask us in writing to start work inside those 14 days and then cancel, you pay for the work done up to that point, in proportion to the price of the whole job.
  14. The 14 days do not apply to a new build, or to urgent repairs or maintenance you asked us to come out for. Where you asked us to start early, the right to cancel ends once the work is finished.
Cancelling this contract

If you change your mind you have 14 days to cancel, as set out in the terms above. You can use the form below, but you do not have to — any clear statement that you wish to cancel is enough.

Subcontract · CIS and the domestic reverse charge

The hardest one to get right. No VAT is collected because the reverse charge applies, so the customer accounts for it to HMRC and the document says so in words. CIS is deducted at 20%, and only from the labour — materials are excluded at cost, which is the HMRC rule and the part that is usually missed. The UTR is on the document because a contractor needs it to verify the deduction.

Business client · VAT split line by line

Quoting another business rather than a householder. Every line carries its net, its VAT and its gross, because someone in their accounts team is going to key these into their own books and wants the split in front of them. The VAT on each line is worked out from the total, not line by line, so the three columns add up to the three figures in the ledger exactly. This one also carries bank details, and with them the standing warning about bank-change fraud.

Variation · a change to the job, priced before it happens

"Can you just…" is where most of the money goes missing on a job, because it is agreed in a doorway and remembered differently later. Back on Mrs Whitfield's bathroom, the floor came up and two joist ends were rotten. The extra work gets its own numbered sheet, priced, referenced back to the original quotation, and signed before anyone starts — and every other term of the original agreement carries on unchanged. This is also the sheet that shows the numbered exclusions and the "This price assumes" clauses that any quotation here can carry.

Final account · what the job actually came to

A quotation is a promise about a job that has not happened yet. This is the same bathroom at the other end of the works: the original quotation, every change that was agreed along the way, and one figure at the bottom. The omission matters as much as the extra — the job shrank where the client supplied her own vanity unit, and it is set in the same type as the addition rather than quietly dropped. Each line carries the reference and the date it was agreed, so it can be checked against the customer’s own pile of signed sheets.

The whole sheet, scaled to fit your screen. Tap it to read it full size.

Invoice · the bill for the same job

A quote is a promise; an invoice is the demand that follows it, and the two have to agree. This one bills the original quotation, the agreed extra and the credit as separate lines, deducts the deposit already paid, and states how to pay — bank details with a reference, so the payment can be matched to the job. It is the same renderer the customer sees when they open the link in their text message.
