Subcontract · CIS and the domestic reverse charge
The hardest one to get right. No VAT is collected because the reverse charge applies, so the customer accounts for it to HMRC and the document says so in words. CIS is deducted at 20%, and only from the labour — materials are excluded at cost, which is the HMRC rule and the part that is usually missed. The UTR is on the document because a contractor needs it to verify the deduction.

Quoting another business rather than a householder. Every line carries its net, its VAT and its gross, because someone in their accounts team is going to key these into their own books and wants the split in front of them. The VAT on each line is worked out from the total, not line by line, so the three columns add up to the three figures in the ledger exactly. Variation · a change to the job, priced before it happens
"Can you just…" is where most of the money goes missing on a job, because it is agreed in a doorway and remembered differently later. Back on Mrs Whitfield's bathroom, the floor came up and two joist ends were rotten. The extra work gets its own numbered sheet, priced, referenced back to the original quotation, and signed before anyone starts — and every other term of the original agreement carries on unchanged. This is also the sheet that shows the numbered exclusions and the "This price assumes" clauses that any quotation here can carry.

Final account · what the job actually came to
A quotation is a promise about a job that has not happened yet. This is the same bathroom at the other end of the works: the original quotation, every change that was agreed along the way, and one figure at the bottom. The omission matters as much as the extra — the job shrank where the client supplied her own vanity unit, and it is set in the same type as the addition rather than quietly dropped. Each line carries the reference and the date it was agreed, so it can be checked against the customer’s own pile of signed sheets.
